Job Summary: 
The Administrative Assistant will work under the direction of the Plant Manager but will also support the plant staff. The Administrative Assistant is responsible for invoice processing, the timely completion of payroll, and the overall administrative functions of the facility. 

Key Responsibilities: 

Health and safety 
o Maintain compliance with ContourGlobal’ s safe work practices outlined in the organizations Health & Safety Management System. 
o Support fellow work partners to help ensure job tasks are adequately reviewed prior to initiating work and when changes occur in the work environment or tasks requirements. 
o Communicate any unsafe work condition or hazard to your Health & Safety Manager or Operational leader immediately. 
o Report any Health & Safety incident, realized or potential to your Health & Safety Manager or Operational leader immediately. 
o Participate in Health & Safety activities as requested i.e., Incident investigations, inspections, effectiveness reviews and best practice sharing. 


Main Duties 
o Administers accounts payable functions to include verification of items purchased, invoicing records, coordination with the Purchasing Assistant, vendors, and plant supervisors. 
o Administers plant payroll to include assembling and reviewing time cards, reviewing data in the plant payroll system, and generating payroll reports. 
o Greet visitors and direct to appropriate person. Answer incoming calls and route to appropriate person. 
o Maintain all plant administrative files and document control logs. 
o Initiates all routine correspondence and performs all word processing, with the exception of confidential information. 
o Complete other tasks as requested by the Supervisor. 
o Attends, records, and prepares minutes of routine and non-routine meetings. 
o Process invoices. 
o Executes special projects as assigned by Management.

o Analyzes issues and identifies the root cause of a near miss/failure and take actions to eliminate it in the future. 
o Effectively uses CG practices/methodology for continuous improvement. 


The Administrative Assistant reports to the Plant Manager and cooperates with all plant personnel relative to the administrative process.

Qualifications and Skills: 
- High School Diploma or equivalent and 3-5 years’ experience. 
- Working knowledge of computer software such as Microsoft Office, or other similar types of software. 
- Have strong cross-functional and interpersonal communications skills; and the ability to handle multiple tasks in a dynamic fast-paced environment. 
- The Administrative Assistant has the possibility of working weekends and holidays, as required by workload. 
- Driving on company business is a requirement of this position and as such, the incumbent shall have and maintain a valid driver’s license. 
- Performs repetitive and non-repetitive physical duties. Requiring lifts, pushing, pulling, stretching, bending, climbing, and lifting up to 25 lbs. 


Travel Requirements – This position will require plant travel.
