Job Summary:

The Purchasing Assistant ensures timely payments of vendor invoices and maintains accurate accounting records. Responsible for preparing accounts payable register and related financial reports.

Key Responsibilities:

Health and safety

  • Maintain compliance with ContourGlobal’s safe work practices outline in the organizations Health & Safety Management System.
  • Support fellow work partners to help ensure job tasks are adequately reviewed prior to initiating work and when changes occur in the work environment or tasks requirements.
  • Communicate any unsafe work conditions or hazard to your Health & Safety Manager or Operational leader immediately.
  • Report any Health & Safety incident, realized or potential to your Health & Safety Manager or Operational leader immediately.
  • Participate in Health & Safety activities as requested i.e., Incident investigations, inspections, effectiveness reviews and best practice sharing.

 

Main Duties

  • Review invoices for accuracy and verify they are supported by a purchase order, work order request or other approved requisition document.
  • Perform data entry of invoices into the system.
  • Coordinate with facility administrator that invoices belong to.
  • Answer vendor inquiries about payment.
  • Perform data analysis and financial reporting required by the facilities.
  • Keep electronic accounting/invoice files up to date.
  • Perform follow-up actions and resolve discrepancies for invoice payment issues.
  • Initiate payment process in the accounting system.
  • Serve as a back-up to the Purchasing Manager.
  • Assist Management with Budgets.
  • Monitor office supplies and place orders as needed.
  • Create all CSC PR’s as directed by Purchasing Manager.
  • Track DMV tags and registration of all company vehicles.
  • Track contractor insurance certificates.
  • Provide month end accruals for Finance Department.
  • Coupa entry backup for Purchasing Manager.
  • Handle Procurement Card for Support Center.
  • Coordinate facility lunches & meetings including ordering meals, set up & clean up.
  • Onboard vendors in Coupa.
  • Quote requests via Coupa Sourcing Module.
  • Other duties as assigned by Manager.

  • Analyzes issues and identifies the root cause of a near miss/failure and take actions to eliminate it in the future.

Qualifications and Skills:

  • SAP experience required.
  • High School Diploma or equivalent.
  • Coupa experience is desirable.
  • All employees will participate in the Fitness-for-Duty Program. This program includes a post-offer physical examination and drug screening.
  • Driving on company business is a requirement of this position and as such, the incumbent shall have and maintain a valid driver’s license.
  • Perform repetitive and non-repetitive physical duties. Requiring lifts, pushing, pulling, stretching, bending, climbing, and lifting up to 25 lbs

Travel RequirementsThis position may require occasional business errands/trips.
