Job Summary:

The Materials and Procurement System Administrator is responsible for the receiving and inventory management for the Plant, ensuring that the inventory of parts and equipment is complete and accurate. This position administers the Plant's Purchase orders and ContourGlobal’s e-procurement platform and ensures efficient, timely and economic procurement of goods and services needed for the power plant.

Key Responsibilities:

Health and safety

  • Maintain compliance with ContourGlobal’s safe work practices outline in the organizations Health & Safety Management System.
  • Support fellow work partners to help ensure job tasks are adequately reviewed prior to initiating work and when changes occur in the work environment or tasks requirements.
  • Communicate any unsafe work conditions or hazard to your Health & Safety Manager or Operational leader immediately.
  • Report any Health & Safety incident, realized or potential to your Health & Safety Manager or Operational leader immediately.
  • Participate in Health & Safety activities as requested i.e. Incident investigations, inspections, effective reviews and best practice sharing.

 

Main Duties

  • Ensure accurate entry, proofing, and submission of purchase orders; based on stock replenishment and management direction. This includes proper product costing, shipping instructions, and resolving any changes or discrepancies.
  • Process procurement documents (purchase requisitions, purchase orders, contracts, delivery notes, acceptance protocols) with due care in accordance with the procurement policies and procedures.
  • Maintain records of all fixed assets and purchase requisitions and obtain all necessary signatures for approval.
  • Communicate directly with vendors to track order status and follow up on deliveries; responsible for tracking the progress of shipments and addressing any problems. Receive, store, ship, and issue, all items, materials, and equipment.
  • Ensure all received items are properly inspected, accounted for, documented, and stored.
  • Coordinate transfers in and out of the warehouse, tracking all movements.
  • Maintain inventory of all goods, including sorting, counting, and organizing.
  • Effectively communicate information to Plant management, relative to the condition of the warehouse, and availability of material.
  • Assist Maintenance, with mechanical and electrical equipment repairs.
  • Complete other tasks, as requested by Plant management.
  • Maintain and utilize inventory management systems.
  • E-procurement platform administration:
    • Act as platform administration support for users.
    • Maintain up-to-date and adjust permissions, roles, workflow configuration, custom forms, etc.
    • Provide end user guidance in the areas of application support, data analysis, retrieval, and self-serve as well as ad-hoc reporting.
    • Help troubleshoot issues that users may have.
    • Support business for the development and automation of KPIs reporting.
    • Support implementation of new capabilities/functionality as they become available.
    • Coordinate and perform testing during upgrade cycles.
    • Partner and consult with system users to propose and implement system improvements.

WORKING RELATIONSHIPS

  • The Materials and Procurement System Administrator reports to the Maintenance Manager and cooperates with all site employees, relative to the procurement process, receiving process and inventory control.

Qualifications and Skills:

  • Ability to understand procedures and instructions specific to the area of assignment, as would be acquired in four (4) years of high school.
  • This position entails the utilization of a forklift for the loading, unloading, and movement of various materials and equipment component parts. Must maintain proper certification, for operation of a forklift.
  • General accounting understanding.
  • Warehouse experience includes shipping, receiving, and inventory control.
  • Knowledge and understanding of purchasing procedures.
  • Experience using computerized accounting and inventory control systems.
  • Experience with SAP required.
  • Ability to work independently, and as part of a team.
  • Time management, prioritization, and organizational skills; attention to detail.
  • Strong writing and verbal communication skills.
  • One year of experience, with a mechanical trade, is desirable.
  • Physical requirements may include standing on feet for extended periods, requiring stair and ladder climbing; and routinely lifting up to fifty (50) pounds.
  • Protective equipment: such as hard hats, safety glasses, air masks, ear protection, and high- voltage protective equipment, must be worn in the performance of some duties.
  • Working with hazardous materials may be required.
  • Position may require extended working hours, with the possibility of weekend and holiday work; as required by schedules, workloads, and Plant conditions.

Travel Requirements – This position will require occasional business trips.
