Job Summary

As Administrative Assistant, you will join our Admin team! In this role, you will report to the Plant Manager and will have the opportunity to enhance executive administration's effectiveness by providing top-tier management support. You will be responsible for delivering high-level administrative and secretarial support to the company's management teams. Furthermore, this role involves organizing and coordinating office operations and procedures to ensure organizational effectiveness and efficiency. Key Responsibilities:

  • Provide Comprehensive Administrative and Secretarial Support:

Assist the Plant Manager and the Management team with administrative tasks.

Produce and manage information through transcription, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.

Proofread and edit letters and reports.

 

  • Support Team Documents:

Assist the team with Word, PowerPoint, and Excel presentations/documents, including typing, formatting, reviewing, printing, and binding.

 

  • Time Management and Correspondence:

Conserve the Team's time by handling correspondence, drafting letters and documents.

Collect and analyze information, initiate telecommunications.

 

  • Mail Handling and Office Coordination:

Ensure proper handling and distribution of incoming/outgoing mails.

Plan and schedule meetings, conferences, and teleconferences.

 

  • Travel Arrangements and Global Logistics:

Manage the Managers's appointment schedule and handle extensive global travel arrangements.

Book flights, hotels, arrange international visas, and update arrival/departure notifications.

 

  • Administrative Procedures:

Follow internal procedures for signature memos and purchase requisition orders.

 

  • Database Management:

Update the Plant Manager’s contact databases with business cards collected at meetings.

 

  • Meeting Support:

Take minutes of meetings, issue reports, and follow up on agreed tasks.

 

  • Facilities and Equipment Management:

Ensure property, facilities, and company equipment remain in good repair and appearance. Manage the drivers and equipment,

 

  • Collaboration and Feedback:

Liaise with the company office management team and the IT team.

Provide feedback on ways to enhance the secretarial/administrative department.

 

  • Other Responsibilities:

Achieve all other activities required by management.

 

Qualifications and Skills: 

Your profile is a natural match if you have:

  • Education: bachelor's degree in administration or equivalent.  
  • Experience: minimum of 5 years of experience as an Executive/Administrative Assistant.
  • Skills: fluency (oral and written) in both English and French; proficient in Microsoft Office applications (Word, PowerPoint, Excel, Outlook are essential); strong ability to prioritize workload and work independently; excellent administrative writing and communication skills.   • Travel requirements: this position is based in Togo and will require occasional business trips.
