We are recruiting for an OFFICE MANAGER (with administrative tasks) based in our MILAN office

 

KEY RESPOSNIBILITIES 

 

Office administration
- help organize and maintain office common areas;
- management of office orders, including furniture and stock;
- logistic support for shipping and receiving goods;
- petty cash administration;
- support with office devices management (computers, printers and other devices);
- general travel arrangements for the team (both domestic and international) including booking flights/overnight accommodation and additional

accommodation/transport arrangements for office visitors;
- perform receptionist duties when needed;
- support with expenses reports and documents printing on management’s request.
▪ Support to Operations Team
- assistance with Corporate Responsibility projects;
- be the primary contact with our telecommunications company, supervise subscriptions and costs;
- coordination with IT to address and fix IT issues;
- car fleet administration: request for quotations, assistance with vehicles pick-up and delivery, assistance with claims and fines, administration of fuel and toll cards, kilometers monitoring;

General administration duties
- provide support with daily administrative tasks;
- submit legal review requests, follow up the documents approval process and collect relevant signatures;
- use of SAP, follow all the approval flows for PRs, POs and invoices and coordinate with Accounting and Treasury departments for invoices payments;
- sorting correspondence and distributing communications in a timely manner;
- being the primary responsible for submitting compliance request and follow up the approval process;
- coordinate with other departments to ensure compliance with established policies.

QUALIFICATIONS AND SKILLS

 

  • High school diploma or Degree
  • Good English knowledge
  • Good IT skills
  • Accuracy
  • Planning and organization skills
