Job Summary:

The Receptionist performs a variety of tasks providing administrative and office support to ContourGlobal Vienna office thus contributing to the efficiency of our business.


Key Responsibilities:


  • Full coverage of front desk and phones during the office operational hours, incl:
  • Welcoming visitors by greeting them, in person or on the telephone; answering or referring inquiries,
  • Maintaining security by applicable procedures; keeping records of visitors' sign in register, issuing visitor badges/collecting them back,
  • Receive, send, and distribute mail and handle office correspondence.

Travel and logistics arrangements:

  • Organize travel arrangements, hotel booking, transfers and administrative needs for employees and visitors when needed (both domestic and international),
  • Coordinate business breakfast/lunch/dinner venues and office events when needed.

General administration:

  • Deliver H&S and office orientation to all newcomers,
  • Coordinate booking of the conference rooms,
  • Organize outside catering for internal meetings,
  • Maintain relationship and negotiate pricing with vendors within applicable rules,
  • Purchase office supplies, i.e., stationary, refreshments etc.,
  • Coordinate and supervise office cleaning company,
  • Ensure administrative spend complies with budget guidelines,
  • Create and submit expense reports.

Qualifications and Skills:

  • High school diploma
  • Experience in a similar role
  • Reception switch board skills
  • Confident user of Microsoft Office
  • Excellent verbal and written communication skills in English and German
  • Self-driven with excellent, professional customer service attitude
  • Ability to respond to requests quickly under pressure
  • Ability to prioritize workload and work independently
  • Strong organizational skills
  • Teamwork & collaboration skills
  • Friendly and confident personality
